SGHub Shop ('SGHub') is responsible for determining how and why your personal information is processed under this Privacy Policy. For any privacy-related matter, you can contact us through the Contact page or the official SGHub Discord support server.

2. Scope of This Policy

This Privacy Policy applies to all SGHub products and services, including:

• The SGHub website and online shop.
• The user dashboard used to manage your orders and licenses.
• RoKMaster Bot, our license-driven automation software.
• Discord services, including sign-in and support tickets.
• Digital products such as guides and templates.

3. Information We Collect

We collect only the information needed to place, fulfil and support your orders.

• Account information — your Discord profile (username, avatar, email) used to sign in and identify you.
• Order information — service selections, plan details, notes you add and order history.
• Support information — messages and files you share in support tickets so we can resolve issues.
• Device information — a hardware identifier (HWID) collected when you activate a RoKMaster Bot license. The HWID is used only for license validation, anti-abuse measures and preventing unauthorised sharing.
• Technical information — IP address, browser information, operating system, timestamps, technical diagnostics and error logs collected to keep the services running securely and to troubleshoot issues.

4. Legal Basis for Processing

We process personal information only when necessary to:

• Provide the services you requested.
• Fulfil and deliver your orders.
• Validate and manage software licenses.
• Comply with legal obligations.
• Protect our legitimate business interests.
• Prevent fraud, abuse and unauthorised use.
• Honour consent you have given for a specific purpose.

5. How We Use Your Information

• To create orders, generate licenses and deliver the services you purchased.
• To open and manage private Discord support tickets.
• To validate and manage software licenses.
• To communicate order updates, renewals and important account notices.
• To prevent fraud, abuse and unauthorised use of our services.

6. How We Store & Protect Data

Your data is stored in secure, access-controlled infrastructure (including Supabase) and is only accessed by the studio owner on a need-to-know basis. We apply reasonable technical and organisational security measures, including:

• Encryption in transit for data transferred between you and our services.
• Access controls and authentication to limit who can reach administrative tools.
• Backups to protect against data loss.
• Monitoring to detect and respond to unusual or suspicious activity.
• Reasonable security measures proportionate to the data we handle. We do not claim certifications or guarantees we do not hold.

7. Data Sharing & Third Parties

We never sell your personal information. We only share information with trusted providers required to operate the business, and we share no more than is needed for each service to work:

• Supabase — authentication and database storage.
• Discord — for sign-in and support tickets, subject to Discord's own privacy policy.
• PayPal — to process payments you choose to make through PayPal.
• NOWPayments — to process crypto payments you choose to make.
• Cloudflare — to host and deliver the website securely.
• Payment providers — to process transactions (they handle card data; we never see or store it).

These providers process personal information only to the extent necessary to perform the services they provide for SGHub.

8. Payments & Financial Data

All payments are handled by established third-party payment processors. SGHub does not collect, store or process your full payment card number, and we never ask you to share card details through Discord, email or tickets. Payment processors handle sensitive financial information securely and independently of SGHub.

9. Cookies & Similar Technologies

The shop uses cookies and similar technologies only to operate and improve the service. We do not run invasive third-party ad trackers.

• Essential cookies — required for the site to function correctly.
• Authentication cookies — keep you signed in and secure your session.
• Preference cookies — remember choices you make, such as language or display settings.
• Optional analytics cookies — used to understand site performance and improve the store. Any analytics we use are limited in scope.

10. Data Retention

We keep personal information only as long as needed for the purposes described in this policy. Different categories of information may be retained for different periods depending on:

• Legal obligations.
• Security and fraud prevention.
• License validation.
• Customer support.
• Dispute resolution.
• Order and license records are kept while needed to fulfil obligations and satisfy legal requirements.
• Support conversations are retained for a reasonable period so past issues can be referenced. You can request deletion of your account data at any time through the Contact page or the official SGHub Discord support server.

Your information may be processed in countries different from the one you are in, for example because our providers operate globally. Wherever your information is processed, we take reasonable measures to protect it in line with this policy, regardless of location.

SGHub services are not intended for individuals under 18 years of age, and we do not knowingly collect personal information from children. If you believe a child has provided us personal data, contact us and we will delete it.
